Billing Support Specialist

Work 2-5 days from the office, and the rest from the comfort of your home, wherever you feel the most productive.

You will be responsible for a number of things:

Customer invoicing process
  • Collect billing information from commercial agreements and the internal time reporting system.
  • Ensure compliance with contractual billing terms.
  • Conduct monthly time reporting verifications of projects.
  • Prepare timesheets or similar supporting documentation based on contracts.
  • Manage billing generation in an accurate and timely manner.
  • Issue and record customer invoices in various billing software (Quickbooks, IMA, Zoho).
  • Send invoices to customers.
  • Handle customer inquiries and complaints regarding billing.
  • Correct billing errors.
Account Receivable management
  • Maintain records of accounts receivable.
  • Collect debts and prepare collection reports.
  • Reconcile outstanding balances with customers.
Subcontractor administration
  • Verify monthly time reporting of subcontractors and validate timesheets and supporting documents.
  • Validate billing documents in accordance with local compliance requirements.
  • Allocate costs over project codes and cost centers.
Document management
  • Develop and maintain contract databases.
  • Organize contracts, amendments, and termination documents in accordance with document management policy.
Support Business Operations
  • Perform permanent validation of resource planning, including administering project and non-project resourcing, verifying time allocations, correcting mistakes, and following up with Project Managers.
  • Cover for the Office Manager in their absence.

This role will suit you if you…

  • have at least 1 year of billing experience.
  • have strong communication skills.
  • are good at problem-solving.
  • feel comfortable even with repetitive and monotonous tasks.
  • can keep deadlines punctually.
  • pay close attention to details.
  • are accurate in data entry.
  • are confident using Google Spreadsheets/MS Excel.
  • are fluent English (written and verbal).

It would be nice if you also have…

  • a public accountant certification (eg CPA) or basic knowledge of VAT compliance.
  • intermediate German knowledge.
  • in-depth knowledge of tech industry best practices.
